The HR Services Administrator will play a crucial role in managing the human resources administration for 50% of the Pipera site population. Partnering closely with a local HR Generalist responsible for the same employee group, this role will manage the end-to-end HR administrative processes for assigned employees, covering everything from hire to retire. The successful candidate will ensure seamless HR operations by managing employee records, processing changes, supporting onboarding and offboarding, and ensuring payroll readiness for accurate month-end closures. This role is pivotal in supporting HR compliance, accuracy, and employee satisfaction within the organization.
Main Responsibilities:
1. Employee Data and File Management:
- Process and maintain employee data in the HR Oracle system, ensuring accuracy and compliance.
- Maintain and update personnel files for assigned employees, ensuring all records are accurate and up-to-date.
- Handle employee data changes such as promotions, status updates, salary adjustments, and corrections.
2. HR Processes and Administration:
- Lead the administration of various HR processes, including hiring, onboarding, internal transfers, and terminations.
- Ensure adherence to HR policies and processes for assigned employees, following proper documentation and procedures.
- Coordinate timesheet completion and verify accuracy for payroll processing.
- Oversee onboarding and offboarding activities, ensuring all documentation and tasks are completed.
3. Payroll and Benefits Coordination:
- Collaborate with the Payroll team for month-end closure activities, ensuring timely submission of all required data.
- Manage the distribution of benefit-related cards and assist employees with benefits-related inquiries.
- Process bonuses, allowances, and other compensation changes, ensuring timely and accurate updates.
4. SOP Development and Process Adherence:
- Create, update, and maintain Standard Operating Procedures (SOPs) related to HR processes as needed.
- Ensure strict adherence to HR processes, continuously identifying opportunities for improvement.
5. Cross-functional Collaboration:
- Work closely with the local HR Generalist and Payroll team to address employee queries and support HR process efficiency.
- Provide HR support for the EMEA region, delivering positive outcomes for HR functions, employees, and managers.
Skills and Qualifications:
- Education: Bachelor’s degree, preferably in Human Resources, Business Administration, or a related field.
- Experience: Minimum of 1 year in an HR Administration role.
- Technical Skills: Proficiency with HR systems (preferably Oracle) and MS Office Suite.
- Languages: Fluent in English, both written and verbal.
- Key Competencies:
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time-management skills; able to meet tight deadlines.
- Strong communication skills, able to work effectively with cross-functional teams.
- Ability to adapt to changing processes and new technologies within a dynamic HR environment.
