Access Assistant
CHILD SAFEGUARDING:
Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting the country programs; or because they are responsible for implementing the police checking/vetting process staff.

We are seeking an Access Assistant to provide support to the access team and Kandahar FO, ensuring effective communication and collaboration between various departments in Kandahar. The ideal candidate will possess exceptional interpersonal skills, confidence, and a proven track record in building relationships specially within the team to achieve organizational goals.
SCOPE OF ROLE:
Reports to: Head of Humanitarian Access

Budget Responsibilities: Not Applicable
Role Dimensions: The post holder will establish good working relationships with the access team and support the team with liaison and access documentation, visas, work permits, and all relevant documents.
KEY AREAS OF ACCOUNTABILITY:
Prepare routine correspondence and draft letters and documents related to access with maintaining the track of outgoing/incoming documents.
Tabulate and retrieve official expenditures and claims for the Access relevant issues.
Arrange meetings and take minutes, share the minutes with the Kabul team.
Facilitate the meetings with different provincial officials in Kandahar Province.
Help with Printing, scanning of the access related documents in Kandahar FO.
Keep the different trackers updated and keep all the documents in soft and hard copies.
Develop and maintain strong relationships with team members and various departments, fostering collaboration and partnership opportunities.
Coordinate meetings, events, and initiatives to enhance communication and cooperation among different entities.
Coordinate logistical arrangements for external Access meetings.
Provide support with the process of securing sectorial approvals for different projects as needed and assigned by line Manager.
Report the progress of the work and negotiations for any Access relevant issue to the Kabul Access team and line manager.
Any other duty assigned by Line Manager.
QUALIFICATIONS
Preferable academic qualifications/ Bachelor of law, International Relations, Political Science, Social Sciences, or related fields. Relevant experience can be considered in lieu of a degree.
EXPERIENCE AND SKILLS:
Essential
• At least 2 years of working experience at access level in Kandahar or similar context.
• Excellent speaking, writing and reading Dari, Pashto and English
• Familiar with MS Office applications (Word, Excel and power point), and Internet.
• Able to keep confidentiality
• Demonstrated ability to communicate clearly, effectively, and respectfully to colleagues, clients, and key stakeholders
• Good interpersonal and team working skills
• Ability to work independently self-motivated and organizes its own time and work independently
