Documentation Officer
ROLE PURPOSE:
The Documentation Officer plays a pivotal role in ensuring the accurate and efficient management of project records, facilitating seamless information retrieval, and supporting project related decision-making processes through the maintenance and organization of essential documentation.
The Documentation officer will work closely with the BHA project team to maintain the documentation of the project, and S/he will be the supportive role on the field to ensure proper documentation and performance align with the SCI set standards and approaches, bringing immediate and lasting changes in the lives of children in program areas.
In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.
KEY AREAS OF ACCOUNTABILITY :
Maintain Project Documentation:
- Lead the project documentation process specially ensuring the accurate and efficient management of project records.
- Support Project Manager and Senior Manger – Learning and evaluation to capture the project learning.
- Provide ongoing support and guidance to partner organization in managing proper documentation related to project activities.
- Facilitate seamless access to project information by organizing and categorizing project documents for easy retrieval by project team members and stakeholders.
Field Support:
- Provide supportive roles in the field to ensure proper documentation practices are followed, and project performance aligns with Save the Children International (SCI) standards and approaches.
Project monitoring and Learning responsibilities:
- Collaborate with project teams and stakeholders to facilitate learning events, reflection sessions, and knowledge sharing platforms to promote continuous learning within the project.
- Actively participate in capacity-building initiatives and training programs to enhance skills and knowledge in Documentations, monitoring and Learning practices.
- Contribute to the development and implementation of project-specific learning plans.
- Comply with Save the Children`s policies and guidelines related to data protection, child safeguarding, and ethical research practices during monitoring and evaluation activities.
- Contribute to the organizational knowledge management efforts by sharing insights, lessons learned, and successful practices with relevant stakeholders within Save the Children Sri Lanka.
QUALIFICATIONS:
- Bachelor`s degree in Business Management & Admin, Social Science, Humanities or relevant field.
EXPERIENCE AND SKILLS:
- Minimum of 2-3 years` experience in documentation , Information management or experience in engaging in field operations preferably with community-based interventions in the development sector.
- Proficiency in Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills in English and Tamil or Sinhala
- Quick learner with the ability to think creatively;
- Experience of, and commitment to, working through systems of community/child participation, and accountability with right-based approaches.
- Commitment to the Vision, Mission, and values of Save the Children
- Good understanding and experience in project level Monitoring and Learning .
- Experience working with local communities and having cultural sensitivity.
- Ability to organize a substantial workload comprised of complex, diverse tasks and responsibilities.
- Behave and demonstrates high level of courtesy, honesty, encourages openness and transparency.
